What is a transfer order?

A transfer order is the official document that moves a teacher or school staff member from one government school to another in Rajasthan. Every government school transfer goes through the Shala Darpan portal. The portal handles the application, the approval process, and the final order. You do not need to submit paper forms or visit the DEO office to apply.

The District Education Officer (DEO) manages the transfer process for each district. Applications are accepted during a fixed window each year, usually announced in advance on the portal. When the window is open, the transfer option appears in your Staff Dashboard. When it closes, that option disappears until the next cycle.

Eligibility criteria

Before you apply, check that you meet these conditions:

  • Minimum tenure completed. You must have served at your current school for at least 3 to 5 years, depending on district rules. Some districts set the minimum at 3 years for rural postings and 5 years for urban ones. Check your district's specific requirement on the DEO website or the Shala Darpan portal.
  • No pending disciplinary action. If you have a pending charge sheet, suspension order, or any open disciplinary case, you cannot apply for a transfer until it is resolved.
  • Active NIC-SD ID. Your NIC-SD ID must be active and up to date in the system. If your ID is inactive or has incorrect details (wrong name spelling, wrong date of birth, wrong school code), fix those first through your school's data entry operator.
  • No transfer restriction. Some teachers are placed on a transfer restriction list due to shortage of staff in their current school, ongoing examinations, or special assignments. Check your status in the Staff Dashboard before applying.
  • Destination school has a vacancy. You can only transfer to a school that has an open vacancy for your subject and category. The portal shows available vacancies when you select a destination school during the application.

Private school teachers do not use Shala Darpan for transfers. They use the RajPSP portal. See our Shala Darpan vs RajPSP comparison.

Step-by-step application process

  1. Log in to the Staff Window

Go to rajshaladarpan.rajasthan.gov.in. Click Staff Login. Enter your NIC-SD ID and password. If you have forgotten your password, use the "Forgot Password" link to reset it through your registered mobile number.

  2. Open the Transfer section

In the dashboard, look for "Transfer" or "Online Transfer" in the left menu or main panel. Click it. The transfer window must be open for this option to appear. If you do not see it, the window is closed and you cannot apply right now.

  3. Check your eligibility on screen

The portal will show your tenure status, whether you have any restrictions, and whether your NIC-SD ID is active. If any of these are flagged, you need to fix them before proceeding. Read the messages carefully.

  4. Select your destination

Choose the district and school where you want to transfer. The portal shows available vacancies for each school, grouped by subject and category (general, SC, ST, OBC, etc.). Pick a school that has a vacancy matching your profile. You can usually select up to three preference choices.

  5. Enter your reason and upload documents

Write a short reason for the transfer request. Common reasons include spouse posting in another district, medical grounds, or completion of rural tenure. If your reason requires supporting documents, upload them now. Accepted formats are usually JPG, PNG, or PDF, and each file must be under 200 KB. Examples include a marriage certificate for spouse-based transfers, a medical certificate for health grounds, or a copy of your posting order showing rural tenure completion.

  6. Review and submit

Check every field before you hit submit. Make sure the destination school name, district, and your reason are correct. After submitting, the portal gives you an application number. Write it down or take a screenshot. You will need this number to check your status later.

How to track your transfer status

After you apply, log in to the Staff Window and go back to the Transfer section. Click "Status" or "Application Status." Your application will show one of these stages:

What each status means

Submitted

Your application is in the system. It has not been reviewed yet. This is normal right after you apply. Wait a few days and check again.

Under review

The DEO office or block education officer is processing your application. They may be verifying your documents, checking vacancies, or comparing your application with others. This stage can take anywhere from one to four weeks depending on the district.

Approved

Your transfer is approved. The transfer order PDF is now available in the same Transfer section. Download it, print it, and carry it to your new school on the joining date mentioned in the order.

Rejected

Your application was not approved. The portal usually shows the reason. Common reasons are incomplete documents, minimum tenure not met, no vacancy at the destination school, or a restriction on your record. Read the reason carefully. If it is something you can fix (like a missing document), you may be able to reapply in the next window.

Returned for correction

The reviewing officer found an issue with your application and sent it back. This is different from a rejection. You can usually correct the problem and resubmit within a deadline shown on the portal. Check the specific remarks to know what to fix.

Check your status regularly, at least once every two or three days after applying. Do not assume that no news means everything is fine. If the office asks for additional documents and you miss the deadline, your application gets rejected automatically.

Common mistakes that lead to rejection

  • Applying outside the transfer window. The transfer option is only visible during the annual window. If you do not see it in your dashboard, the window is closed. There is no workaround or offline process to apply outside the window.
  • Choosing the wrong school or district. Double-check the district and school name before submitting. Once submitted, you cannot easily change your destination. If you select a school by mistake and the order is approved, you may end up at a school you did not intend to join.
  • Uploading documents that are too large or in the wrong format. The portal has file size limits, usually around 200 KB per file. If your scanned certificate is 2 MB, compress it before uploading. Use JPG or PNG for images and PDF for multi-page documents.
  • Not checking status after applying. Some applications are "returned for correction" instead of being rejected outright. If you do not check, you will miss the correction deadline and lose your application.
  • Joining after the deadline. The transfer order has a joining date. If you do not report to the new school by that date, the order is cancelled. You will have to apply again in the next cycle, and there is no guarantee of the same destination.
  • Applying when you have a restriction. Some teachers are on a transfer restriction list because their current school has a staff shortage, or because they are posted at an examination center during exam season. Apply only after confirming your restriction status is clear.
  • Forgetting to update your NIC-SD ID details. If your name, date of birth, or school code in the system does not match your actual documents, the application may be rejected during verification. Update your details through your school's data entry operator before the transfer window opens.

Tips for a successful application

  • Apply on the first or second day of the window. Server load increases near the deadline. Applications submitted on the last day sometimes fail to process because of heavy traffic. Apply early and avoid the rush.
  • Keep your documents ready before the window opens. Have your marriage certificate, medical certificate, rural tenure completion order, or any other document scanned, compressed, and saved on your phone or computer. When the window opens, you can upload them quickly.
  • Choose your preferences wisely. If the portal allows multiple school preferences, use them. Put your first choice first, but also add a backup school in case the first one has no vacancy by the time your application is processed.
  • Write a clear reason. A short, specific reason works better than a long paragraph. "Spouse posted in Udaipur district" is clearer than a page-long explanation. If you are applying on medical grounds, mention the condition briefly and make sure the medical certificate is from a government hospital or registered practitioner.
  • Save your application number. Write it in a notebook, save it in your phone, or take a screenshot of the confirmation page. You need this number to check your status and to download the order later.
  • Verify your school code and posting details. Before applying, log in and check that your current school code, your name, and your subject are correct in the system. A mismatch between your actual details and what the system shows can cause rejection.
  • Apply only if you actually want to move. Once a transfer is approved and you join the new school, it is hard to get back to your old school. The reverse transfer process is separate and not guaranteed. Make sure the transfer is something you really want before you apply.

What to do after your transfer is approved

When you see "Approved" in the status column, here is what to do next:

  1. Download the transfer order PDF. It is in the same Transfer section of the Staff Window. Open it, check that your name, current school, destination school, and joining date are correct. If there is any error in the order, report it to the DEO office immediately.
  2. Print two copies of the order. Keep one for your records and carry the other to the new school. Some schools also ask for a digital copy, so save the PDF on your phone.
  3. Get a relieving letter from your current school. Before you leave, the headmaster or principal of your current school should issue a relieving letter. This letter confirms that you have handed over your duties, cleared any dues, and returned school property (keys, library books, lab equipment, etc.).
  4. Clear all pending work at your current school. Submit your leave records, update the attendance register, hand over any school funds you manage, and complete the transfer certificate for students if needed. Do not leave loose ends.
  5. Report to the new school on or before the joining date. Carry your transfer order, relieving letter, identity proof, and all personal documents. Meet the headmaster, collect your new class schedule, and get your attendance marked from day one.
  6. Update your NIC-SD ID. After you join the new school, your school code in the system should change. If it does not update automatically within a week or two, contact the data entry operator at your new school or the block education office to get it corrected.
  7. Keep the transfer order safe. You may need it later for seniority calculations, leave transfers, or future transfer applications. Store the PDF in a folder on your phone or email it to yourself.

Tip: Apply early in the window. Do not wait for the last day. Server load increases near the deadline and applications may fail to submit. Also, keep checking the portal for any schedule changes. The DEO sometimes extends the window or moves dates without much notice.
