Employee Code (NIC-SD ID)
Every Rajasthan government school employee has a Staff NIC-SD ID on Shala Darpan. Here is where to find it.

Every teacher, clerk, headmaster, and non-teaching staff member in Rajasthan's government schools has a Staff NIC-SD ID. This is your employee code on the Shala Darpan portal. The National Informatics Centre assigns it when you join a government school, and it stays with you throughout your career in the state system.
You need this ID to log into the Staff Window, apply for transfers, and view your records through the Citizen Window. Without it, you cannot access most staff services on the portal.
What the NIC-SD ID is and why it matters
The NIC-SD ID is a 6 to 10 digit number. It acts as the primary key for your employee record across the entire Shala Darpan system. Every piece of data tied to you, attendance, salary, leave, transfers, annual confidential reports, is linked to this single number.
The ID is different from your school's NIC-SD code, which identifies the school itself. It is also different from your Aadhaar number, which is a personal identity number and not used as the login credential for Shala Darpan. Some older staff may also have a district-level employee number from before Shala Darpan existed, but that number is not the same as the NIC-SD ID.
Because the system uses this ID to track your career across schools and districts, any mistake in the ID can cause real problems. A wrong or missing ID means your attendance may not record correctly, your salary data may not show up, and you cannot apply for transfers when the window opens.
How to find your employee code
There are several ways to locate your NIC-SD ID, starting with the easiest options.
Check your appointment letter. The district education office issues an appointment letter when you join a government school. This letter has the NIC-SD ID printed on it, usually on the first page or in the endorsement section. If you joined before 2015, the ID may be handwritten or stamped rather than printed. Look for a 6 to 10 digit number labeled "NIC-SD Code" or "Employee Code."
Ask your school head. School heads have access to the School Window, which lists every staff member registered at their school along with their NIC-SD IDs. Ask them to show you the staff list or print a copy. For most teachers, this is the fastest way to find the ID.
Look at your salary slip. The employee code appears near the top of the slip, next to your name and school code. If you receive your salary through the system, your slip should have the correct ID. Keep a copy of the slip for reference.
Check with the district education office. If you cannot find your appointment letter and your school head is unavailable, contact the district education office where you were originally appointed. They keep employment records that include the NIC-SD ID. You may need to visit in person or send a written request through your school head.
Check transfer records. If you transferred schools recently, the receiving school may have your NIC-SD ID in their records from the transfer order. The transfer order document itself usually lists the employee code.
How the ID is used across the portal
The NIC-SD ID is not just a login credential. It connects to several parts of the portal:
- Staff Window login. You use the NIC-SD ID as your username to log into the Staff Window. The password is separate.
- Transfer applications. When the annual transfer window opens, you apply using this ID. The system checks your eligibility based on the ID.
- Attendance. Daily attendance records are tied to your NIC-SD ID, not your name. Two staff members with the same name but different IDs will have separate attendance histories.
- Salary and pension. Your salary data, arrears, and pension records are linked to the NIC-SD ID. A mismatch between your ID and the salary system can delay payments.
- Annual confidential reports. ACR entries are filed against your NIC-SD ID. If the ID is wrong, your ACR may not appear in your staff record.
- Citizen Window. Your staff details page in the Citizen Window shows basic information about you. Anyone can search by name, but the NIC-SD ID is what the system uses to pull the correct record.
Common problems with IDs
Several issues come up regularly with NIC-SD IDs.
Duplicate IDs from multiple districts. Before Shala Darpan was centralized, staff who worked in more than one district sometimes ended up with two different IDs. The portal only recognizes one ID per employee. If you have two IDs, only one will be active.
Old IDs that no longer work. If you see an ID in your appointment letter that does not work on the portal, the system may have assigned you a new ID when it was updated. Your school head can check which ID is currently active.
ID not found in the system. This can happen if your record was never migrated to Shala Darpan, or if there is a typo in the ID. Staff who joined before 2010 may have records that were entered manually and could have errors.
Wrong ID linked to salary. Sometimes the NIC-SD ID in the portal does not match the ID in the salary system. This can cause salary delays. Check your salary slip against the portal record to make sure they match.
ID belongs to someone else. In rare cases, a data entry error links your name to the wrong NIC-SD ID. If your staff details page shows information that does not match your career, the ID may be incorrect.
How to fix incorrect IDs
If your NIC-SD ID is wrong or missing from the system, you need to act before you need it. Waiting until the transfer window opens will not help.
Start with your school head. Ask them to check your record in the School Window. They can see your NIC-SD ID, your name, and the school code. If the ID looks wrong, they can flag it.
Submit a correction request to the district office. The district education office handles employee data corrections. Write a request that includes your name, date of birth, school name, and the correct NIC-SD ID if you know it. Attach a copy of your appointment letter if you have it.
Check with the salary section. If your salary is being paid, the salary section at the district office has your NIC-SD ID on file. Compare it with what the portal shows. If they differ, ask for a correction in both places.
Follow up after a few weeks. Corrections can take time. Check the portal periodically to see if your record has been updated. If nothing changes after a month, follow up with the district office.
Document everything. Keep copies of your appointment letter, salary slips, and any written requests you submit. If the correction is delayed or refused, these documents help you make your case.
Differences between NIC-SD ID and other codes
Several codes and numbers are used in the Rajasthan education system. They serve different purposes.
- NIC-SD ID (employee code). Your primary identifier on Shala Darpan. Used for login, transfers, attendance, and salary tracking.
- School NIC-SD code. A separate number that identifies the school, not the employee. It appears on school-related records and the school's Shala Darpan page.
- Aadhaar number. A 12-digit personal identity number issued by UIDAI. It is used for verification purposes but is not your login ID for Shala Darpan.
- PAN number. Used for tax purposes. Not related to the NIC-SD ID or the portal.
- District employee number. An older number used by some district education offices before Shala Darpan. It may still appear on old records, but the NIC-SD ID has replaced it for portal use.
