What the School Window does

The School Window is the admin panel for government schools on Shala Darpan. School heads (principals, in-charges) use it to manage student enrollment, staff records, transfer applications, and reporting. If a student's name is wrong in the system, the school head fixes it through this window. The window also handles mid-year transfers, section migrations, and exam result uploads. Every government school in Rajasthan has a separate login tied to its NIC-SD code.

Who can log in

Only the designated school head or in-charge can log in. Each school has one active login at a time. If a new principal takes over, the block office deactivates the old login and creates a new one. The school does not get to choose which staff member holds the login. The block office decides based on the official appointment order. Guest lecturers and temporary staff do not get school login access. They use the Staff Login instead.

Login credentials

The school needs two things to log in: the NIC-SD code and a password. Here is where to find them:

School login fields
FieldWhere to find it
School NIC-SD CodeOn the school's recognition certificate. Also ask the block office if the certificate is not available.
PasswordSet during registration. The block office provides it. If lost, there is no self-service reset. Contact the block education office.

The NIC-SD code is a numeric code assigned by the National Informatics Centre. It is different from the UDISE code, though both identify the school. The UDISE code is a 11-digit number used nationally. The NIC-SD code is specific to Shala Darpan. If you are not sure which code your school has, ask the block office.

Step-by-step login

  1. Open the portal

Go to rajshaladarpan.rajasthan.gov.in. On the homepage, find and click the "School Login" or "Vidyalaya Login" button. This takes you to the login form.

  2. Enter school code and password

Type the school's NIC-SD code in the first field. Enter the password in the second field. Fill the captcha carefully because it is case-sensitive. If you type the captcha in wrong letters, the login will fail even if the code and password are correct.

  3. Check the dashboard

After logging in, the school dashboard opens. You will see options for student enrollment, staff management, reports, and transfers. The left sidebar has the main navigation. The top bar shows the school name and code. If the dashboard looks empty, the school may not have students enrolled yet, or the account may need activation from the block office.

A few things to keep in mind. The session times out after about 15 minutes of inactivity. Save your work frequently. If the page freezes or shows an error, close the browser tab and log in again. Do not open multiple tabs of the same login session. It can cause data conflicts.

What you can do in the School Window

Once logged in, the school head has access to several modules. Here is what each one does:

  • Register new students during admission season. This includes entering the student's name, parents' names, date of birth, category, and Aadhaar number. The system checks for duplicate entries across schools in the district.
  • Update student records. This covers name corrections, date of birth changes, parent detail updates, and address changes. Some changes, like date of birth corrections, may need supporting documents uploaded to the system.
  • Manage staff records. Update NIC-SD ID details, mark daily attendance, and view the staff list. The school head can also update a teacher's posting date and subject assignment.
  • Apply for transfers for staff during the transfer window. The window opens once or twice a year, usually before the academic session starts. Outside the window, transfer requests are not accepted.
  • View school reports. These include enrollment numbers by class and section, daily attendance summaries, exam results, and staff availability. Reports can be downloaded for block office submissions.
  • Fix login issues for students and staff. Reset passwords, update mobile numbers linked to accounts, and resolve "account locked" messages. Some fixes need block office action.

The school head also handles beneficiary scheme (scholarship) data through a separate portal. The login for that portal uses the same Shala Darpan credentials, but the entry point is different. Look for the "Beneficiary Scheme" link on the main dashboard.

Common problems and solutions

School code not accepted

Check the code on your recognition certificate. Make sure you are typing it correctly. Some codes start with zeros that are easy to miss. If the school is newly opened, the code may not be active yet. Contact the block office to confirm the code is registered in the system.

Password forgotten

There is no self-service password reset for school login. Contact the block education office. They can reset it through their admin panel. You will need to provide the school name and NIC-SD code. The block office may ask for a written request on school letterhead.

Dashboard is empty or missing modules

The school may not have any students enrolled yet. Or the account is not activated. Contact the block office to check activation status. Some modules appear only after the school has at least one active student record.

"Account locked" message

The account locks after too many wrong password attempts. Wait 24 hours for it to unlock automatically. If still locked after 24 hours, contact the block office. They can unlock it immediately.

Page shows "session expired" repeatedly

This usually means the browser is blocking cookies or the internet connection is slow. Clear the browser cache, disable any VPN, and try again. Use Chrome or Firefox for best results. Avoid using mobile data if the connection is unstable.

Cannot upload documents

The system has file size limits. Documents should be under 200 KB in PDF or JPEG format. If the upload still fails, try compressing the file or scanning at a lower resolution. The browser console may show the specific error.

New school registration

If your school is newly opened and not yet on Shala Darpan, the registration happens through the block office. They create the school entry, assign the NIC-SD code, and set up the login. This is not done through the public portal. Here is the general process:

  1. The school submits its recognition certificate and registration documents to the block education office.
  2. The block office verifies the documents and creates the school entry in Shala Darpan.
  3. A NIC-SD code is assigned to the school. This code is sent to the school head along with the login password.
  4. The school head logs in for the first time and updates the school profile, including address, contact details, and staff list.

This process takes about one to two weeks depending on the block office workload. Follow up with the block office if you have not received the login details after two weeks.

Tips for school administrators

  • Keep the NIC-SD code and password in a secure physical file. Do not store them in a phone or email where they can be accessed by others.
  • Update student records as soon as possible after admission. Delayed updates can cause problems during exam result uploads.
  • Check the staff list every month. Make sure new postings and transfers are reflected in the system. Discrepancies between the actual staff and the system records can affect reporting.
  • Download and save monthly reports from the dashboard. These are useful during block office inspections and annual audits.
  • If the school changes address or contact number, update it in the School Window immediately. The block office and district office use these details for communication.
  • Train at least one other staff member on how to log in and use the basic features. If the school head is on leave, the backup person can handle urgent tasks.
  • Report any system errors or bugs to the block office. They can escalate to the Shala Darpan technical team. Include screenshots and error messages when reporting.
