Shala Darpan Staff Login
Complete guide for government school teachers and staff to log in to the Staff Window on Shala Darpan.
Written by Gautami Bandopadhyay, founder of Shala Darpan Guide.
What the Staff Window does
The Staff Window is the teacher portal on Shala Darpan. It gives government school teachers and staff in Rajasthan a single place to manage their professional records, apply for transfers, view training status, and download pay slips. It runs on the same Shala Darpan website but uses a different login than the School Window (for administrators) and Shala Samvad (for students and parents).
Most teachers use the Staff Window a few times a month, mainly to check updates or download pay slips. Transfer applications are only open during specific windows set by the Directorate of Elementary Education, Bikaner. When the window is closed, you can still log in and view your profile, but the transfer form will not appear.
What you need before logging in
- NIC-SD ID: your unique employee code, usually 6 to 10 digits. You can find it on your appointment letter, salary slip, or by asking your school head. If you do not have one yet, the block office generates it during the registration process.
- Password: the password you set when you first registered on Shala Darpan. There is no self-service password reset on the Staff Window. If you forgot your password, the block education office has to reset it through their admin panel.
- Registered mobile number: the phone number linked to your Shala Darpan account. You need it to receive the OTP during login. If you changed your number and did not update it, ask your school head to change it through the School Window, or contact the block office.
Keep these three things ready before you open the portal. The login page does not save your NIC-SD ID, so you will need to type it each time.
First-time registration
If you are logging in for the first time, you need to register before you can use the Staff Window. Here is the process:
- Go to rajshaladarpan.rajasthan.gov.in and click "Staff Login."
- Click the "One Time Registration" link below the login form.
- Enter your NIC-SD ID, date of birth, and registered mobile number.
- An OTP will be sent to your mobile. Enter it within 5 minutes.
- Create a new password. It must be at least 8 characters and include a mix of letters and numbers.
- After registration, you can log in with your NIC-SD ID and the password you just created.
Registration is a one-time process. After that, you log in with the same credentials every time. If you already registered but cannot remember your password, see the credential recovery section below.
Step-by-step login
Open the portal
Go to rajshaladarpan.rajasthan.gov.in in your browser. The site works on Chrome, Firefox, and Edge. Click "Staff Login" or "Staff Login" on the homepage. If the link does not respond, the portal may be down for maintenance. Check updates for scheduled downtime notices.
Enter your NIC-SD ID and password
Type your NIC-SD code (6 to 10 digits) in the first field. Enter your password in the second field. The password field masks the characters, so double-check for typos, especially if you are on a shared or public computer. Fill in the captcha exactly as shown, including uppercase and lowercase letters. The captcha is case-sensitive, so "AbC" is different from "abc."
Enter OTP (if prompted)
Some accounts require OTP verification. If the system asks for an OTP, check your registered mobile number. The code usually arrives within a minute and expires in about 5 minutes. If you do not receive it, check that your phone has network signal. You can request a new OTP after 60 seconds. Do not close the login page while waiting, or you will have to start over.
Dashboard opens
After successful login, the staff dashboard appears. You will see your name, designation, and school name at the top. The left sidebar has links to different sections: My Profile, Transfer, Training, Pay Slip, Leave, and Reports. Click any link to open that section.
What you can do after login
Once you are inside the Staff Window, the dashboard gives you access to several sections. Here is what each one does:
| Feature | What it does |
|---|---|
| My Profile | Shows your staff details: name, date of birth, designation, subject, school, and joining date. You can review your records and flag errors to the block office for correction. |
| Transfer | Lets you apply for transfers when the transfer window is open. You can choose preferred districts and schools. The system shows your seniority position and past transfer history. |
| Training | Lists all training programs you have attended or are registered for. You can see completion status, certificates, and upcoming training schedules. |
| Pay Slip | Lets you download monthly pay slips in PDF format. Pay slips show your basic pay, allowances, deductions, and net salary for each month. |
| Leave | Lets you apply for leave if this feature is enabled for your school. You can check leave balance and see the status of pending applications. |
| Reports | Shows school-level data such as student attendance and enrollment. Teachers can view reports for their own classes. |
How to recover lost credentials
Shala Darpan does not have a self-service "Forgot Password" link on the Staff Window. If you cannot log in, here is what to do:
Forgot your password
Contact the block education office where your school is located. The block operator can reset your password through the admin panel. You will need to verify your identity with your NIC-SD ID and registered mobile number. After the reset, you will get a new temporary password on your phone. Log in and change it to something you can remember.
Forgot your NIC-SD ID
Check your appointment letter or most recent salary slip. The ID is printed on both. If you cannot find it, ask your school head, who can look it up in the School Window. You can also visit the block office with a copy of your appointment order. See the Employee Code guide for more details on where to find your ID.
Mobile number changed
If your registered mobile number is no longer active, you will not receive OTPs. Ask your school head to update the number through the School Window, or visit the block office with your ID proof. The block operator can change the number linked to your account.
Common login problems and solutions
NIC-SD ID not found
Your ID may not be generated yet. New teachers sometimes wait a few weeks after joining before the block office registers them on Shala Darpan. Contact the block office to check your status. See the Employee Code guide for help.
Password not working
Make sure you are typing the correct password. Caps Lock being on is a common cause. If you are sure the password is right but it still does not work, your account may be locked from too many failed attempts. Wait 24 hours and try again. If the problem continues, contact the block office for a password reset.
OTP not received
Check that your phone has network signal. If your mobile number has changed since you registered, the OTP will go to the old number. Ask your school head to update the number through the School Window, or contact the block office directly.
Account locked
The system locks your account after too many wrong password attempts. Wait 24 hours and the lock clears automatically. If you are still locked out after that, contact the block office to unlock it.
Login page not opening or loading slowly
The portal sometimes goes down for maintenance, usually during late night or early morning hours. Check updates for maintenance notices. You can also clear your browser cache, try a different browser, or check your internet connection.
Dashboard is empty or shows no data
Your account may not be fully activated. This happens when the block office created your login but did not complete the profile setup. Contact the block office to verify your account status and ask them to complete the activation.
Session expires too quickly
The Staff Window times out after about 15 to 20 minutes of inactivity. If you step away from your computer, save any work before leaving. When you return, you will need to log in again.
Staff Window vs School Window
Shala Darpan has two separate login systems for school staff. The Staff Window is for individual teachers and employees. The School Window is for principals and school administrators. They look similar but serve different purposes.
| Feature | Staff Window | School Window |
|---|---|---|
| Who uses it | Teachers and non-teaching staff | School principals and administrators |
| Login credentials | NIC-SD ID + password | School code + password |
| Can edit student records? | No. Teachers cannot change student data. | Yes. Principals can update student admissions, attendance, and results. |
| Can apply for transfers? | Yes, during the transfer window | Yes, but only for staff under their school |
| Can view pay slips? | Yes, individual pay slips only | Yes, can view pay slips for all staff in the school |
| Can update school data? | No | Yes, including infrastructure, staff count, and enrollment |
| Who registers the account? | Block office generates the NIC-SD ID | District office assigns the school code |
A teacher should use the Staff Window for personal tasks like transfers and pay slips. A principal uses the School Window for school-level management. You cannot log into the School Window with a Staff Window account, and the reverse is also not possible.
Tips for first-time users
- Use a computer, not a phone. The Staff Window works on mobile browsers, but some features like the transfer form and pay slip download behave better on a desktop or laptop. If you must use a phone, rotate it to landscape mode for wider tables.
- Try Chrome or Firefox. The portal is built for these two browsers. Internet Explorer and some older browsers may not display all features correctly.
- Write down your NIC-SD ID. Keep it somewhere safe, like a notebook at home or a note on your phone. You will need it every time you log in.
- Do not share your password. Your Staff Window account has personal information, including your salary details. Treat it like your bank password.
- Log out when you are done. Click the logout button in the top right corner before closing the browser. This is especially important on shared computers at schools or cyber cafes.
- Check the transfer window dates. The transfer form only appears during the application period announced by the Directorate. Outside that window, the Transfer section will be empty or show a message that applications are closed.
- Download pay slips regularly. Pay slips are archived, but it is good practice to download and save them on your own computer each month. This helps when you need them for loan applications or verification.
- Keep your mobile number updated. If you change your phone number, tell your school head right away so they can update it through the School Window. An outdated number means you will not receive OTPs or important notifications.
