Jan Aadhaar Linking on Shala Darpan
What Jan Aadhaar is, how to link it with Shala Darpan, common errors to watch for, and tips for parents and staff.

What is Jan Aadhaar?
Jan Aadhaar is Rajasthan's family identity system. The state government created it to give every family a single 12-digit number that works as proof of identity and address. You get this number by registering at a Jan Aadhaar center or through the e-Mitra portal.
The number connects all family members under one record. Your name, your spouse's name, your children's names, and their dates of birth all sit under that one 12-digit ID. Jan Aadhaar cards are issued to each family member, and the family head gets a separate card with the enrollment details.
Jan Aadhaar is different from Aadhaar. Aadhaar is the national UIDAI number. Jan Aadhaar is Rajasthan-specific and carries family-level data. You need both, but they serve different purposes in the state's systems.
Why link Jan Aadhaar with Shala Darpan?
Shala Darpan is Rajasthan's school management portal. It stores student enrollment, attendance, exam results, and staff records for government and private schools in the state. Jan Aadhaar linking ties these school records to your family ID.
You can use Shala Darpan without linking Jan Aadhaar. The portal still lets you search schools, check results, and access the Citizen Window. But linking adds a few things that make the portal more useful for families.
What you get after linking
- All your children's report cards appear on one screen, even if they study in different schools across the state. Without linking, you have to search for each child separately using their NIC-SD ID.
- Scholarship application forms pull your name, date of birth, address, and family details from Jan Aadhaar automatically. You do not have to type everything from scratch, which reduces errors.
- Shala Samvad, the parent-student portal, works with linked records. Parents can see attendance, marks, and school notices in one place.
- Student records stay consistent. If you update your address or phone number in Jan Aadhaar, the change can flow to your children's school records without visiting the school office.
How to link, step by step
Go to the official portal
Open rajshaladarpan.rajasthan.gov.in in your browser. You can do this on a phone or computer. The site works on both.
Click Citizen Window
Look for "Citizen Window" on the home page. You do not need a username or password to reach this section. It is open to anyone.
Select Jan Aadhaar Linking
Inside the Citizen Window, find the option called "Jan Aadhaar Linking" or "Link Jan Aadhaar." The exact wording may vary slightly depending on the portal version. Click it.
Enter your Jan Aadhaar details
Type your 12-digit Jan Aadhaar number. The form asks for the family head's name and date of birth. Enter them exactly as they appear on your Jan Aadhaar card. If the family head's name has a middle name or initials, include them.
Verify and submit
Click "Verify" or "Submit." The system checks your details against the Jan Aadhaar database. If the name and date of birth match your records, linking completes on the spot. If they do not match, you get an error message (covered below).
The process takes about 5 to 10 minutes. You get a confirmation on screen after it works. Some users also receive an email or SMS confirmation, depending on the contact details linked to their Jan Aadhaar.
Tips before you start
These small steps save time and prevent errors:
- Keep your Jan Aadhaar card nearby. You need the exact 12-digit number. Guessing or rounding does not work.
- Check that the name you enter matches the Jan Aadhaar card letter for letter. "Raj Kumar" and "Rajkumar" are treated as different names by the system.
- Use a stable internet connection. The verification call to the Jan Aadhaar database can time out on slow or unstable networks.
- Try during off-peak hours. The portal can be slow during school hours, especially in the morning when staff are also using it.
- If you are linking for multiple children, you only need to enter the Jan Aadhaar details once. The system pulls all children linked to that family number.
Common linking errors and how to fix them
Name mismatch
The name on Jan Aadhaar and Shala Darpan must match exactly. Even a small difference like "Ram" vs "Ramprasad" causes failure. To fix this, visit a Jan Aadhaar center and get the name corrected. Alternatively, ask your school head to update the name in Shala Darpan through the School Window. The name should match on both sides before you try linking again.
Date of birth mismatch
The date of birth must be the same on both records. Check the format too. Some systems use DD/MM/YYYY and others use DD-MM-YYYY. If the dates are genuinely different between the two records, your school head can correct the date in Shala Darpan through the School Window. If the date is wrong in Jan Aadhaar, you need to get it updated at a Jan Aadhaar center first.
Wrong Jan Aadhaar number
A single wrong digit means the system cannot find your family. Double-check the 12-digit number on your Jan Aadhaar card before submitting. If you entered the wrong number and linking went through anyway, you can unlink and try again with the correct number (see below).
Linking option is not visible
Not all schools have the linking feature turned on in their Citizen Window. If you cannot find the option, contact your school head. They can link your Jan Aadhaar through the School Window on your behalf. You can also try clearing your browser cache and loading the page again.
System shows "already linked"
This means your Jan Aadhaar number is already connected to a Shala Darpan record. It might be linked to an old school or a different child's record. Check the Citizen Window to see which records are linked. If something looks wrong, unlink the old record first, then link again.
Verification times out
The portal sometimes cannot reach the Jan Aadhaar server during high traffic. Wait a few minutes and try again. If it keeps failing, try at a different time of day, preferably in the evening or on a weekend.
Parent vs staff linking
Parents and school staff link Jan Aadhaar in different ways and for different reasons. Here is how they differ:
| Who | Where to link | What it does |
|---|---|---|
| Parent | Citizen Window | Connects the child's school record to the family. Report cards appear together. Scholarship forms fill automatically. Shala Samvad shows all children in one place. |
| Staff member | Staff Window or School Window | Connects the employee record to the family. Transfer orders, salary details, and departmental data get linked to Jan Aadhaar. This also helps when staff apply for leave or transfers through the portal. |
Parents can link without logging in. Staff members usually need to log in through the Staff Window or have their school admin do it through the School Window.
What happens after you link
Once linking is done, the changes show up right away in most cases. Here is what changes:
- Your children's names appear in the Citizen Window under your Jan Aadhaar. You can view their enrollment details, school name, class, and section.
- When exam results are published, all your children's report cards show up together on the results page. You do not have to search by individual NIC-SD ID.
- If you apply for a scholarship through the portal, the form pulls your name, address, and family details from Jan Aadhaar. You still need to fill in academic details, but the personal data is pre-filled.
- For staff, transfer orders and departmental records get connected to the Jan Aadhaar profile. This reduces paperwork when moving between schools or districts.
Changes you make in Jan Aadhaar (like updating your phone number or address) do not automatically update Shala Darpan. You may need to contact your school to sync those changes.
Can linking be undone?
Yes. If you linked the wrong number or linked to the wrong child's record, you can undo it. Look for an "Unlink" or "Edit" option in the Citizen Window. Click it, confirm the unlink, and your records separate.
If the unlink option is not visible, contact your school head. They can unlink records through the School Window. For staff records, reach out to the district education office.
Security tip: Never share your Jan Aadhaar number over phone, WhatsApp, or email. Only enter it on the official portal. If you are unsure about a link someone sends you, type the URL directly in your browser instead of clicking it.
